3. Wedding Planning Services

3.1 Service Description

Elegant Unions provides wedding planning and coordination services as described on our website and in our service agreements. Our services may include full planning, partial planning, day coordination, venue selection, and other related services.

3.2 Service Agreement

Prior to commencing any wedding planning services, clients must sign a detailed service agreement specifying the scope of services, fees, payment schedule, and other terms specific to their event. The service agreement, once signed, forms part of these Terms.

3.3 Client Responsibilities

As a client, you agree to:

• Provide accurate and complete information regarding your event requirements
• Cooperate with us and respond to communications in a timely manner
• Make decisions and provide approvals within the timeframes requested
• Make payments according to the agreed payment schedule
• Comply with the terms of contracts with vendors we introduce you to

3.4 Supplier Selection and Liability

While we make every effort to recommend reputable suppliers, we are not responsible for the performance of third-party suppliers or vendors. Contracts for goods and services will be between you and the supplier directly. We will assist in the management of these relationships but cannot be held liable for any breach, negligence, or failure to perform by any supplier.

4. Fees and Payment

4.1 Service Fees

Our fees vary depending on the services requested and the specific requirements of your event. All fees will be clearly detailed in your service agreement.

4.2 Payment Terms

Unless otherwise specified in your service agreement:

• A non-refundable booking fee (typically 30% of the total fee) is required to secure our services and your wedding date
• The remaining balance is payable in instalments as outlined in your service agreement
• All payments must be made by the due dates specified in the payment schedule
• Any additional services requested after signing the service agreement will be charged separately

4.3 Late Payments

Late payments may incur interest at the rate of 4% above the Bank of England base rate. We reserve the right to suspend services until outstanding payments are received.

5. Cancellation and Postponement

5.1 Cancellation by Client

If you cancel our services:

• The booking fee is non-refundable regardless of when cancellation occurs
• Cancellations more than 6 months before the wedding date: 50% of any additional payments made will be refunded
• Cancellations 3-6 months before the wedding date: 25% of any additional payments made will be refunded
• Cancellations less than 3 months before the wedding date: no refunds will be provided

All cancellations must be made in writing.

5.2 Postponement

If you need to postpone your wedding:

• We will make reasonable efforts to accommodate the new date, subject to our availability
• If we are available on the new date, a postponement fee of £250 will apply, and a new service agreement will be issued
• If we are not available on the new date, this will be treated as a cancellation under section 5.1

5.3 Cancellation by Elegant Unions

In the unlikely event that we need to cancel our services due to unforeseen circumstances:

• We will provide as much notice as possible
• We will refund all payments made, including the booking fee
• We will make reasonable efforts to recommend alternative wedding planners

Our liability will be limited to the refund of fees paid and will not extend to any other costs or losses incurred as a result of the cancellation.

6. Liability and Insurance

6.1 Limitation of Liability

To the fullest extent permitted by law, Elegant Unions shall not be liable for:

• Any indirect, special, incidental, or consequential damages
• Any loss of profit, revenue, business, or data
• Any failure or delay resulting from acts beyond our reasonable control, including, without limitation, acts of God, natural disasters, pandemic, terrorism, war, civil unrest, or supplier failure
• The actions, omissions, or negligence of third-party suppliers or vendors

Our total liability to you for all other losses shall be limited to the total amount paid by you for our services.

6.2 Insurance

Elegant Unions maintains professional liability insurance. We strongly recommend that clients obtain comprehensive wedding insurance to protect against unforeseen circumstances, including cancellation, supplier failure, and property damage.

7. Confidentiality and Privacy

7.1 Confidentiality

We respect the confidentiality of our clients and will not disclose sensitive information about your wedding plans or personal details except as necessary to arrange your wedding with approved suppliers, or as required by law.

7.2 Marketing and Portfolio

Unless you specifically opt out in writing, you grant us permission to:

• Take photographs and videos during the planning process and on the wedding day
• Use photographs, videos, and general information about your wedding in our portfolio, website, social media, and marketing materials
• Submit your wedding for publication in wedding blogs and magazines

We will always be respectful and tasteful in our use of wedding content and will not use names without permission.

7.3 Privacy Policy

Our collection and use of personal information is governed by our Privacy Policy, which forms part of these Terms.

8. Changes to Terms

We reserve the right to change these Terms at any time. Any changes will be posted on our website with an updated "Last Updated" date. Your continued use of our website or services after the posting of changes constitutes your acceptance of the revised Terms.

For clients with signed service agreements, any material changes to these Terms will be communicated directly and will not affect the terms of existing agreements unless mutually agreed in writing.
